Job Title: Part-Time Administrative Assistant

Location: Disciples of Christ Historical Society, Bethany, WV

Work Hours: 10-15 hours per week

Compensation: $15-18 per hour, depending on experience

Job Description:
We are seeking a Part-Time Administrative Assistant to join our team at the Disciples of Christ Historical Society in Bethany, WV. This role is ideal for someone who is passionate about history, enjoys administrative tasks, and is adept at handling a variety of duties in a dynamic work environment.

Key Responsibilities:

  • Communication Management: Handle project documentation, correspondence, and communications in support of the President. This includes reading, analyzing, and distributing incoming memos, letters, and reports appropriately.
  • Administrative Support: Perform general administrative duties including filing, photocopying, managing schedules, coordinating travel arrangements, scheduling appointments, and ordering supplies. Assist in creating and maintaining electronic and physical filing systems.
  • Office Coordination: Answer phones, greet visitors, schedule appointments, maintain calendars, and ensure smooth office operations. Make trips to the post office for mail and package handling.
  • Meeting and Event Planning: Prepare agendas for meetings, coordinate catering for luncheons, and make arrangements for committee and other meetings. Take and distribute minutes of meetings as required.
  • Document and Mail Management: Collate and distribute mail. Support the communications director with tasks such as drafting memos, emails, invoices, reports, newsletters, and other correspondence.
  • Financial Coordination: Coordinate invoice routing and monitor payments to vendors, ensuring timely and accurate financial operations.

Requirements:

  • Education: High school diploma or equivalent; further education or certification in office administration is a plus.
  • Experience: Prior experience in an administrative role is preferred, but not required.
  • Skills: Excellent organizational and time-management skills; strong written and verbal communication abilities; proficiency in Microsoft Office and other office software.
  • Characteristics: Detail-oriented, proactive, and capable of working independently and as part of a team.
